Running an Encounter

tutorial

A step-by-step walkthrough of running a wound care encounter in WoundScribe AI — from the Clinical Note tab to signed orders — using one Generate Notes pass.

Running an encounter in WoundScribe AI takes you from intake to signed notes in a single pass. This walkthrough covers the encounter workspace, each tab to prepare before generation, and how to review the AI-drafted SOAP note, procedures note, and recommended orders. 1. Open the encounter and land on the Encounter Details page. You'll see a progress tracker at the top and eight tabs covering the visit. Move between tabs freely — nothing is submitted until you generate notes. 2. Start on the Clinical Note tab. Review the Smart Clinical Overview, which summarizes the patient's course, treatment, and active wounds. Dictate or type the encounter note — the more context here, the better the generated SOAP notes will be. 3. Complete the Intake tab. Capture vitals, attachments, and the intake checklist. Anything incomplete gets flagged in a pre-flight check before generation. 4. Confirm wounds on the Wounds tab. Check the wounds this encounter covers — the tab count follows your selection. Add new wounds on the fly by typing a short description; the system parses type and location. 5. Place Orders and Rx up front. Add labs, imaging, referrals, procedures, DME, and e-prescriptions. Every order must carry at least one linked ICD-10 diagnosis, because payers require it. 6. Click Generate Notes. A pre-flight dialog lists any missing items — review or generate anyway. The summarizer, assessment, planner, and validator agents run in sequence, usually finishing in under a minute. 7. Review and sign. Check the drafted SOAP note, procedures note, and patient summary. Accept the recommended orders in the Orders and Rx tab, then approve and sign. That's the full loop — capture the visit, generate the notes, review the recommended orders, and sign off.
